Rental Policies

Payment in full for your rental is required 30 days prior to check-in and may be paid in the form of cash, money order, traveler’s checks and all major credit cards. Please limit your payment to two (2) credit cards per reservation.

 

Check-in is from 4:00PM to 5PM CST. (Unavoidable delays may occur during peak seasons. Please do not anticipate any early check-in during spring break or summer periods). Should you arrive after our office closes; there is a LATE ARRIVAL box located on our front porch with keys and maps to your rental property. Check-out time is promptly at 10:00AM. Late check-outs will result in extra rental charge. We cannot approve late check-outs during peak seasons.

 

SUGGESTED ITEMS TO BRING: Beach towels, beach chairs, sunscreen, camera, radio, paper towels, toilet paper, trash bags, dishwashing detergent, laundry soap, bath soap, bicycles, rafts, coffee filters, antiseptic and fishing gear.

 

If your rental home or condominium includes a swimming pool, please note that NO DIVING is allowed. The renter must sign a pool disclaimer before occupying the property. NO PETS are allowed in our rental properties, unless it is specified as a pet friendly home. NO SMOKING in any of our properties. Violation of these policies will result in a charge to the credit card on file.

 

Rivard of South Walton, Inc. is the Manager of the accommodation you have rented and is compensated by the owner. Guest (or tenant) hereby releases Manager from any and all claims, suits, demands, or causes of action for personal injury or property damage caused by the negligent or intentional acts of third persons or caused by the negligence of the Manager.

 

Please read, sign, and return the enclosed Rental Policy/Damage Waiver and Pool Disclaimer Forms (if your property has a pool) to our office via e-mail, fax to (850) 231-1909, or mail to complete the reservation process to avoid any delays at check-in.

 

Rivard offers travel insurance to cover unexpected cancellations. If a guest has to cancel a reservation, the refund will be issued by Red Sky, if the cancellation is due to a covered event or circumstance. Rivard cannot issue refunds for cancellations. Please take advantage of purchasing travel insurance to insure you are reimbursed should you have to cancel your reservation.

Reservations are made on a first come, first serve basis. Fifty percent (50%) of the total rental fee is required as prepayment when booking a reservation. Prepayments made with credit cards are paid at the time of booking the reservation. Prepayments by check (mailed) will be given (7) seven business days to reach our office. Reservations may be made through 2018; however rates may be subject to change. A Fifty percent (50%) prepayment is required on all 2018 reservations based on the current rate. You will be notified by email or letter should the rate for 2018 change. You will have thirty (30) days from receipt of your letter to contact our office and confirm or cancel your reservation.

 

Please provide the total number of adults and children in your group when making your reservation. Each property lists the number it sleeps. This is the maximum number of persons who may occupy the rental property. The only exception is an infant in a crib. The minimum rental period is four (4) nights, unless otherwise specified. We try to accommodate 2 and 3 night rentals on select properties, which can be reserved one week prior to arrival. (A cleaning fee is assessed on rentals less than five (5) nights.) The balance of rent and taxes are due 30 days prior to arrival. NO EXCEPTIONS. Payments may be made in the form of Personal Checks (NSF Fee $50.00), Traveler’s Checks, Cash, Money Orders, Visa, Master Card, AMEX or Discover. However, a valid credit card number MUST be held on file before your reservation will be deemed confirmed. Rivard reserves the right to charge the credit card, or cards, on file: 1) to reimburse expenses incurred to repair damage, replace missing items or replace furniture or Rivard linens soiled by suntan lotion products; 2) to pay for extra cleaning; 3) to pay the unpaid balance on any rental charges or other charges incurred and not otherwise paid for; or 4) for any other charges incurred for violations of the Rental Policy as a result of your stay In the event Rivard is required to refer any of the foregoing charges to an attorney for collection, whether or not suit is filed, Rivard will be entitled to recover from you its reasonable attorney’s fees and costs incurred in securing payment. In the event a lawsuit becomes necessary for the collection of unpaid charges, venue for any such proceeding will be in Walton County, Florida in the court with appropriate jurisdiction, and you agree to personal jurisdiction in Florida for the non-payment of charges incurred in Florida associated with the rental of a Walton County, Florida property. If you choose to pay by credit card, please limit 2 credit cards per reservation.

 

Rivard does not rent to vacationing students or singles under 25 years of age unless accompanied by their parents. One (1) parent for every two (2) guests between the ages of 15 – 25 is required to stay on the property during the entire rental period. A reservation obtained under false pretense will be subject to forfeiture of advance payment, and/or rental money, and subject to immediate eviction. A (non-refundable) pet fee is required for properties that are listed as pet friendly. You will be asked to vacate the property if a pet belonging to you or a member of your party is sighted on the premises of a non-pet friendly home during your stay and a $150.00 fee will be assessed. Any evidence of a pet in your rental property or on the premises will result in additional charges. All properties are NON-SMOKING. All weddings and special events reserved through Rivard will be assessed an event fee. The fee will be determined by what type of event will be held. The fee is non-refundable and should be made payable to Rivard.

 

Check in time is between 4:00PM & 5:00PM CST, after inspection is completed to ensure the property is ready for occupancy, and subject to the availability of your reservation. Unavoidable delays may occur during peak season. Your patience will be greatly appreciated. Please refer to your confirmation for the detailed check-in procedures. Check-out time is no later than 10:00AM CST. No late departure requests will be granted when summer rates are in effect. Late departures after 10:00AM will be charged appropriately. Upon check-out, all debris, garbage, and discards must be placed outside in proper containers. Place soiled dishes in dishwasher and start dishwasher cycle. Property should be left in a neat condition. Do not rearrange furniture in your rental home. (Failure to follow the check out procedures listed above may result in an extra fee, please adhere to the instructions.) Keys must be returned to the Rivard office to avoid a $25.00 replacement fee.

 

Rivard reserves the right to change rental property assignments due to unforeseen maintenance issues or in the event the property is no longer available or on our rental program. When you confirm a reservation, a rental property will be assigned; however, no property request is guaranteed. If an unavoidable change becomes necessary, every effort will be made to notify you by mail, e-mail, and/or by telephone.

 

No compensation will be given for temporary outage(s) of electricity, gas, water, cable, and internet or telephone service. Outages will be reported immediately and every effort will be made to have them restored as soon as possible. The operation and maintenance of these utilities is completely out of the control of Rivard of South Walton, Inc.

 

RIVARD OF SOUTH WALTON
SPRING BREAK POLICY
(For Stays During March and April)

1.)A Parent must reserve all reservations during spring break.
2.)There must be one (1) parent for every two (2) vacationing guests between the ages of 15 – 25.
3.)Rivard of South Walton, Inc. will not put a reservation in the name of a vacationing guest(s) age twenty five (25) and under.
4.)Rivard of South Walton, Inc. must have a valid credit card on file before a reservation can be deemed confirmed.
5.)If there are any damages in a rental property, the credit card on file will be charged for the amount of, and we will forward copies of the damages and charges to the person whom Rivard of South Walton, Inc. has on file as the guarantor of the reservation.
6.)We must receive a copy of each of the parent’s driver’s license that will be staying in the rental property prior to arrival.  Please attach to this document and return.
7.)Keys will only be given out during business hours and only to the person whose name the reservation is booked in.   No “after hours” check-ins will be allowed during Spring Break time period.
8.)If the parent(s) leave rental property and are not physically staying there, the occupants will be evicted immediately.
9.)All occupants will be evicted immediately if the Walton County Sheriff’s Department is called to a rental property for any reason.
10.)Eviction will constitute the forfeiture of all monies paid.Please list the names of all guests that will be staying in this vacation home.
